Vacancy for Course Organiser

The Grittleton Chamber Music Course is a large well established annual summer residential chamber music event, which has been running since 1967.  The current venue is St Mary’s School, Calne, Wiltshire.  Members of the course comprise over 100 playing members, including music teachers, students and advanced amateur musicians, who meet for two separate weeks in late July/early August to be coached by professional musicians in the art of chamber music playing. There is an element of performance on the course, but the main aim is to explore and play the chamber music repertoire.  A junior course, Young Grittleton, is run in parallel and has its own course organiser.

 

A Course Organiser is required.  It is anticipated that the successful candidate will shadow the administration of the 2020 course before taking over the organisation of the 2021 and subsequent courses.

The position will appeal to a self-motivated person, with good administrative skills, who is used to working to deadlines.  It is anticipated that the successful candidate will have some experience and knowledge of the field of classical music. Some knowledge of chamber music repertoire would be an advantage.

The fee for the contract for services (which includes the preparation of the course, and the administration of the course on site for two weeks) is currently £7955 per annum.

Grittleton Chamber Music Course Organiser

Job Purpose

Provide an administrative service to the Grittleton Chamber Music Course, completing a range of tasks to meet operational requirements to deliver a successful two week annual summer course.   The organiser will report to, work with, and be supported by the Grittleton Chamber Music course committees.

Person specification, desirable:

Knowledge, Skills and Experience

  1. Experience of working in an administrative or office environment
  2. Experience of using common office IT software including MS Office and Excel, and a willingness to learn additional specific IT packages, such as MailChimp and Stripe
  3. Proven high standard of organisational and general administrative skills, with appropriate and proportionate attention to detail
  4. Ability to record financial information in a spreadsheet format agreed with the Course Treasurer
  5. Experience and knowledge of the field of classical chamber music

Customer Service, Communication and Team Working

  1. Ability to deal with committee, members and coaches in a professional manner
  2. Ability to clearly record and prepare information to pass on to others
  3. Ability to work as an effective team member

Planning, Analysis and Problem Solving

  1. Ability to plan, prioritise and organise work in a logical and structured approach within established time scales
  2. Self-motivated, with an ability to use initiative to solve problems and to determine which standard process and procedures can be used to solve them

 

  1. Experience in using online event organisation and associated online booking systems (such as Eventbrite and Stripe)
  2. Experience in web design and maintenance

Responsibilities include

Throughout the year, you will ensure that the:

 

  • Databases of members and coaches is kept up-to-date
  • The Grittleton Chamber Music website is kept up-to-date

 

In preparation for the course you will oversee the:

  • Provision of suitable coaching staff for the course (with advice on contacts provided by the coaching staff and Committees)
  • Preparation and dissemination of application forms and course details for members
  • Organisation of players for each week’s course
  • Accommodation and associated requirements for the course, which will require laison with the Facilities/Events staff at the host school
  • Administration of payments by members and for coaches

 

On the course, you will need to be:

  • Available on site for at least a day before the course begins
  • On hand for any emergency or query throughout the two week course period.
  • Responsible for handing back the school to the Facilities/Events manager on the last morning of the course
